CLUB CONSTITUTION

Name: CITY OF NEWPORT ARCHERS

Object: The practice and promotion of Archery in the City of Newport.

Affiliation: The club shall affiliate to Archery GB (formerly the Grand National Archery Society).

MANAGEMENT

The club shall be managed by a Committee consisting of a Chairman, Hon. Secretary, Hon. Treasurer, Records Officer and any other members deemed necessary.

The chairman shall be chiefly responsible for the direction and co-ordination of the Club’s activities.

The Hon. Secretary shall be responsible for the correspondence and the keeping of records, other than scores. He/She shall also call meetings as directed by the committee.

The Hon. Treasurer shall be responsible for the collecting of subscriptions and other funds, payment of Club expenses, keeping accounts and preparing an Annual Balance Sheet.

The Records Officer shall be responsible for recording all scores and handicap figures.

PROPERTIES

All Club properties shall be vested in the hands of the Chairman, Hon. Secretary and Hon. Treasurer, as Trustees during their term in office.

GENERAL MEETINGS

A General Meeting shall be held each year. One month’s notice of the meeting must be given via E-mail to all Club Members.

The meeting shall elect the Chairman, Hon. Secretary, Hon. Treasurer and other committee Members. All adult Club Members shall be entitled to submit nominations for these offices, such nominations must be in writing, signed by the proposer and seconded and submitted to the Hon. Secretary at least 14 days before the meeting.

The nomination should have had the consent of the nominee. If no nominations are received, the Committee shall have the power to submit its own nominations.

The meeting shall have the power to alter the Club Rules and Constitution. Notice of any proposed alterations to these must be submitted in writing to the Hon. Secretary at least 14 days before the meeting.

The Balance Sheet and Annual Report shall be read and approved at this meeting. A quorum shall consist of one fifth of the total adult membership.

SPECIAL MEETINGS

The Committee shall have the power to call a Special meeting, by giving at least 7 days notice via E-mail to all adult members. Special Meetings can also be called by any 5 adult members, by giving 14 days notice to the Hon. Secretary via E-mail.

COMMUNICATION

The default method of communications from and to the committee shall be via e-mail unless specified by the member when joining or renewing membership.

General notices shall be posted on the club website.

It is the club members’ individual responsibility to keep the committee apprised of any changes to their e-mail address, mobile phone number or postal address within one month of said change.

The committee shall not be held responsible for communications not received by members who do not inform the committee of any changes to their e-mail address, mobile phone number or postal address.

DISCIPLINE

The club committee shall meet to consider any complaints received from club members, and any disciplinary action thought necessary. In all such situations the committee shall correspond fully with all parties concerned, both verbally and in writing if necessary.

However, the decision of the committee in all such cases is final. The committee shall ensure that all such actions are to the good of the club.

MEMBERSHIP

All membership applications must be submitted to the Hon. Secretary. The Committee will have the power to accept or reject such applications.

SUBSCRIPTIONS

Club fees for 2018/19 are as follows:-

Senior £180.00

Junior under 18 £90.00

Associate Senior £90.00

Associate Junior u18 £45.00

Non Shooting Member £1.00

All Archery GB affiliations Fees etc. must be paid at the beginning of the membership year.

Visitors wishing to shoot on club nights may do so on payment of a target fee –

Indoor and Outdoor – £5.00 per session,

The frequency of visits by non-members shall be monitored by the Committee, and if deemed necessary, the visitor shall be asked to become an Associate Member.

JUNIORS

Junior members under the age of 18 years attending the Club must be supervised by a parent or nominated guardian over the age of 18 years at all times.

INSTRUCTION OF BEGINNERS

The period of instruction is limited by the insurance cover held by the Archery GB.

Beginners will be given Six lessons (normally one per week) in the basic technique of shooting for a certain fee to cover use of Club training equipment and beginners will be informed that on completion of the sixth lesson they must join the Club as full members (when affiliation fees become payable).

If the beginners decide not to join the Club then their association with the Club must cease – they will not be allowed to extend their course of instruction.

USE OF CLUB EQUIPMENT

New members will be allowed to use club equipment for the periods listed below:-

6 weeks from commencement of tuition-use of all necessary equipment.

8 weeks from commencement of tuition-members will be required to purchase their own finger tab and arm bracer.

16 weeks from commencement of tuition – members will finally be expected to buy their own bow and arrows.

CARBON ARROWS

The use of full-carbon arrow shafts is not permitted outdoors. Full-carbon arrow shafts are permitted for indoor shooting. There is no restriction on the use of carbon/aluminium composite shafts.

SHOOTING SEASON

The outdoor shooting season shall be from 1st April to 30th September. The indoor season shall be from 1st October to 31st March.

TERMINATION

If the club dissolves, all club assets are to be donated to another archery club where the promotion of archery is paramount.
